Responsibilities

 

Site Support for Regional EHS Manager

  • Maintain spreadsheet documenting employee earned safety points and redemption.
  • Post updated safety point summary sheet, green safety cross (weekly) and monthly safety employee(s) of the month, safety team, draw bingo numbers and print and distribute bingo cards as needed.
  • Train new employees and temporaries in Safety program and assign to monthly and weekly safety teams.
  • Send weekly notifications to plant manager on department supervisors not meeting requirements and post for all employees to see.
  • Maintain THR (Total Hours Recap) spreadsheet.
  • Maintain documentation of Near Miss/Hazard reports and resolutions.
  • Follow-up on open NM/HC and Safety AIM actions with responsible party, including waste manifests, air permit related submittals and associated back-up documentation, and Storm Water and SPCC inspection records.
  • Maintain Key Safety metrics (weekly/monthly) and corporate reports.
  • Maintain EHS filing of training records and Environmental records and documentation.
  • Compose and distribute monthly Safety Team Meeting calendar.
  • Recreate and reformat word documents and Power Point presentations when needed, specifically ensuring 52 week Safety Talk program Power Point presentations and videos are current and distributed accordingly.
  • Maintain and post SDS records. Work with SDS team ensuring books are kept current.
  • Maintain accident and first-aid incidents paper files and file all other safety paperwork accordingly.
  • Report to Regional EHS Manager progress towards all safety metrics twice monthly and as requested.
  • Convert all JHA and LOTO, after review is complete to new format, post in shared folder for Regional EHS Manager to review.
  • Maintain documentation and distribute LOTO locks for plant employees.
  • Review crane and forklift inspection forms and let Maintenance know if there is a problem.
  • Attend Management monthly safety meeting and create minutes to be posted on the shared drive within 24 hours of meeting.
  • Send out meeting reminder and open action item log 2 days before management safety meeting.
  • Attend All RCA meetings and update RCA and MOC corrective action spreadsheets.
  • Maintain and order FXI apparel related to Bingo Winners and safety points redeemed.
  • Train and back-up Safety Coordinator for Fort Wayne facility and answer questions when needed.
  • Serve as the team leader for the Plant Safety Audit team.
  • Maintain and support effective response procedures for an unannounced OSHA/ EPA Inspection, serving as the first responder and initial organizer of activities in response to an inspection.
  • Other projects as assigned.

 

Site Support for Director of Human Resources

  • Create new employee files, move term employee files in appropriate storage area and file current employee paperwork accordingly.
  • Assist HR Generalist on special projects, events, and other projects as assigned.

Site Support-General Facility

  • Complete projects for Plant Manager as requested.
  • Answer switchboard.
  • Register visitors/vendors; assign required PPE complete confidentiality agreement when needed.
  • Sign invoices accordingly.
  • Update and distribute phone directory.
  • Make warranty/insert copies for plant as needed.
  • Audit and maintain plant bulletin boards, updating employee Engagement and Safety Winner recognition monthly.

Qualifications

 

  • 0-2 years of experience providing administrative support to an organization's environmental, health and safety function.
  • Excellent computer skills.
  • Excellent communication skills.
  • Must be efficient and apply time management skills.
  • Able to create Excel spreadsheets and Power Point presentations as needed.
  • Able to multi-tasks with multiple projects at one time.
  • High School diploma or equivalent.
  • Associate or Bachelor degree preferred.
